Internal accounts

TC users are automatically set to “Inactive” and removed from the WSDRS subsystem once they are removed from TC-Directory

External accounts only

If you set a password to "DELETE" (all uppercase) and this account has never submitted an SDR, it will get deleted overnight (otherwise it needs to be dealt with manually)

An "inactive" WSDRS external user will be auto assigned the role code = NS (no services), will have its password scrambled, and have 'X' appended onto the email address (to prevent stray notification emails getting sent out, and to prevent password reset attempts)

An external user found to be not assigned to any SDR organization - will get deleted overnight

An inactive external user that has never submitted an SDR - will be deleted overnight

An inactive user, that has submitted reports - will remain listed on its SDR organization until such time as all reports submitted from that account are moved under another Userid within that organization. Usually, you can determine if reports exist simply by trying to delete the person from that organization (m79 table). If the system refuses, there are reports that need to be moved (ideally under the generic user for that Org at Sequence number 1) -

Unfortunately, reports submitted from an inactive user account remain in "read-only" status until they are moved under another account.

If the user to be deactivated is the ONLY user under a given organization, the userid needs to be kept active. Simply reset the password with random characters, put an 'x' on the end of the email, and (optional) enter something about the status of this account in the addressing or the position info, (and possibly swap in a new email address for that company from a google or 5008 search if the company is still active) Its also a good idea to alter the userid to a company generic Userid, in case a new person comes along, so they can be swapped in quickly.
