To publish a new PMOU manual to CPSCS

1. Open the following folder: \\wwwdata\wwwdocs\cpscs\references. If you do not have the necessary credentials to access that share:

Username: tcw\tcuser
Password: <Check RIDMS 13232403 if authorized; otherwise, contact Web Technical Support Team>

2. Create a new folder for the PMOU manual. To follow the existing naming standards, the new folder should be named: PMOU-REVXX, where XX = the revision number of the new reference. For example, "PMOU-REV38".

3. Copy the contents of the new PMOU manual to the folder just created. If the PMOU manual is archived (ZIP file), you'll need to also extract all contents of the ZIP file to the PMOU manual folder.

4. Once copying is complete, open the new PMOU manual folder and look for an HTML file that contains the word "index" as part of the file name. For example, "_Index_38.html". Record that file name, including the html, for the next steps.

Congratulations! You've now placed the new PMOU manual in a spot where it can be referenced by the production CPSCS web site. Now we'll need to update the CPSCS References section to point to the new manual.

For the next steps, you will need to have access to a CPSCS administrator account.

1. Log into CPSCS (https://wwwapps2.tc.gc.ca/saf-sec-sur/4/cpscs-scepc) as an administrator.

2. Click on the Admin menu option (top menu).

3. Click on the Standards button found in the left-hand column.

4. Locate the row for References and click on the button located to the right in that row.

5. Search the list of references listed until you find the active PMOU Manual. Click the Modify button for the active PMOU Manual reference.

6. On the Reference modify screen, update the English and French Description to reflect the new revision number. For example, update English Description "PMOU Manual Revision 37" to "PMOU Manual Revision 38" and French Description "Manuel du PE de Paris - Révision 37 (en anglais seulement)" to "Manuel du PE de Paris - Révision 38 (en anglais seulement)".

7. Update the English URL and French URL to the following:
wwwapps2.tc.gc.ca/wwwdocs/cpscs/references/{folder name created above}/{index file name located above}.

In our example, the URL is updated to wwwapps2.tc.gc.ca/wwwdocs/cpscs/references/pmou-rev38/_Index_38.html.

8. Click the Update button in the left-hand column.

9. Click on the References link in the top menu.

10. Click the button beside the Reference updated. In our example, click on the button beside "PMOU Manual Revision 38". Confirm that the manual is loaded correctly. If not, please review each of the steps above and make corrections as needed.

Now that the manual has been released, we need to notify users the PMOU Manual has been updated. Continuing in CPSCS as an admin:

1. Log into CPSCS (https://wwwapps2.tc.gc.ca/saf-sec-sur/4/cpscs-scepc) as an administrator.
2. Click on the Admin menu option (top menu).
3. Click on the News button found in the left-hand column.

4. Find the current posted item related to the new PMOU manual:

Post Item = Yes
News Description like "New Version PMOU Manual Rev XX under References", where XX is a numeric value.

Click Modify button for the PMOU news item.

5. On this page:

Update the manual revision number in the French Title and English Title
Update the revision number in the English News Item and the French News Item
Change the Date Posted date to the current date (YYYY MM DD format).

Here is the update done for PMOU Manual Revision 38, changed on July 9, 2019

7. Click the Save button.

8. Verify that the news item is posted on the CPSCS Latest News Page by clicking the "Menu" link in the top menu. Verify that the PMOU Manual Revision news item is at the top of Latest News list displayed.

And that's the new PMOU Manual Revision published!
