Project Manager – Key Roles

Hold regular one-on-one meetings (weekly / bi- weekly) with team members reporting to you

Employee performance management: Perform start-of-year, mid-year, and/or end-of-year performance reviews with team members (PSPM application) – including training and career guidance through Learning Plan.

Leave Management

Approve leave (sick leave, vacation, personal days, etc.) for employees in LEX and/or a shared team calendar

Approving leave for employees (LEX) / leave for consultants / casual and inform them to update TSIS 2 shared team calendar.

Onboarding and off boarding:

Facilitate the onboarding and off-boarding of consultants and employees to the team via approved Human Resource (HR) processes and guidelines.

Support the development and retention of the digital talent / employees reporting to you.

Facilitate and mediate conflict resolution with team members that cannot be managed in sprint retros

Identify and raise issues and impediments to the manager, providing options and recommendations to resolve issues.

Monitor team health by providing a safe space for team mental and physical well-being, contributing to employee success

Facilitate project management using project dashboards and spending plans per Project Management Framework (PMF) guidelines and gating requirements.

The Scrum Master is accountable for establishing Scrum as defined in the Scrum Guide. They do this by helping everyone understand Scrum theory and practice, both within the Scrum Team and the organization.

The Scrum Master is accountable for the Scrum Team’s effectiveness. They do this by enabling the Scrum Team to improve its practices, within the Scrum framework.

Scrum Masters are true leaders who serve the Scrum Team and the larger organization.

The Scrum Master serves the Scrum Team in several ways, including:

Coaching the team members in self-management and cross-functionality.

Helping the Scrum Team focus on creating high-value Increments that meet the Definition of Done.

Causing the removal of impediments to the Scrum Team’s progress; and,

Ensuring that all Scrum events take place and are positive, productive, and kept within the timebox.

The Scrum Master serves the Product Owner in several ways, including:

Helping find techniques for effective Product Goal definition and Product Backlog management;

Helping the Scrum Team understand the need for clear and concise Product Backlog items;

Helping establish empirical product planning for a complex environment; and,

Project Plan - Estimate project timeline

Project Plan - Update progress on the project timeline

Facilitating stakeholder collaboration as requested or needed.

Project Plan - Update DSD Manager through bilats and daily communication via MS Teams

Project Plan - Assist Project Manager with planning for project needs and identifying Project issues.

TSIS 2.0 Project Dashboard RDIMS 14216242:

Save as a new version each month within the same RDIMS number listed above. Provide at least three days to work on it before it’s due to ensure there is enough time to complete with all the other adhoc request/work that is given with limited turnaround time.

The Power BI or LaunchPad dashboard shows what has been updated in the financial system. Ensure the forecast, surplus/deficit match those numbers.

Verify with Tech Lead or PO of the accomplishments to include in the dashboard.

The Schedule tab – the actual dates we forecast must be in chronological order. Any of the main project areas ( Scope, Schedule, Cost) that are yellow or red must be explained, and describe the action needed to bring it back to green, in the variance section.

Financials and Spending Plan – Updated monthly in parallel with the TSIS 2.0 Project Dashboard. Adhoc request from Eric to update the Spending Plan will be requested during RUSH report.

Project Plan – RDIMS 17648310 this usually gets reviewed after every sprint with the POs and Tech Lead to ensure timelines continuously align. Adhoc meeting is setup depending on the need.

Change Management – RDIMS 17664511 Weekly touch point with the CM team to review on the progress of Field Testing, Questionnaire building, SOPs, training materials prep etc. *supposed to be covered by the CM lead*

Provide a Project Level weekly update

Project Governance

PMF tasks: Manage and update the Project Control Sheet, Change Request, Lessons Learned etc

Manage project level (Risk, Assumption, Issues, Decisions) RAID log

Lead and follow up Business/Project Level tasks required for each release tracked in MS Planner.

Portfolio Manager

Supports the manager in the oversight of projects within the portfolio

Support program areas in pre-project work (i.e. concept cases)

Provides onboarding for new project managers within the team

Is available for other project managers to provide guidance and advise on complex topics

Contributes, through the PM CoP and other forums, to the improvement of DSTO’s project management practices
