Location Mapping

Role: Admin

Path #1 - TSB Occurrence is received mapped from the Data Warehouse (DW)

  1. Find a TSB Occurrence that has been mapped to an RSIG location in the DW (e.g. status “Pending Review” or “Historical Data” with a location listed in the “Location” column”) in the Task Dashboard

  2. Click on the TSB Occurrence record, and and navigate to the Location Mapping tab

  3. One location in the expandable panel is listed (panel is disabled)

  4. Other panel(s) display text “Locations Found” (if applicable; panels are disabled)

  5. Primary Location is selected in the dropdown menu (disabled)

  6. “Reopen” button is available

  7. Header displays the mapped location in the following format: [TSB Occurrence #] - [Mapped Location] - [Accident / Incident Type]

  8. Manager Review tab is visible

Path #2 - TSB Occurrence is received unmapped from the Data Warehouse

  1. Find an Occurrence with an unmapped location (e.g. From the Task Dashboard, status “Pending Review” or “Historical Data” with “Unmapped” listed in the “Location” column”)

  2. Click on the TSB Occurrence record, and and navigate to the Location Mapping tab

  3. Location may be listed in one of the expandable panels (if applicable)

  4. “Locations Found” may be visible in the expandable panel(s) (if applicable)

  5. Manager Review tab is not visible

  6. Use search bar functionality in yard, spur, subdivision and crossing expandable panels to find location(s) applicable to the TSB Occurrence

  7. Select a primary location from the ‘Primary Location” dropdown menu

  8. Click “Map primary location to RSIG”

  9. Header displays the mapped location in the following format: [TSB Occurrence #] - [Mapped Location] - [Accident / Incident Type]

  10. Primary Location is selected in the dropdown menu (disabled)

  11. “Reopen” button is available

  12. “Map primary location to RSIG” is disabled

  13. Manager Review tab is visible

Role: Manager and RSI

Path #1 - Location Mapping tab is available in view-only mode

  1. Choose any TSB Occurrence from the Task Dashboard

  2. Navigate to the Location Mapping tab

  3. Yard, spur, subdivision and crossing expandable panels are disabled

  4. Primary Location dropdown menu is disabled

  5. “Reopen” button is disabled

  6. “Map primary location to RSIG” is disabled

Manager Review

Role: Admin or Manager

Path #1 - Occurrence Follow-up requires no further action

  1. Inspection Notification tab is not visible

  2. #1 is set to “No”

  3. #2 is set to “No”

  4. Click “Save”

  5. Occurrence Follow-up status is “No Action Required”

  6. Manager Review status is “Completed”

  7. Inspection Notification Status is “No Action Required”

  8. TSB Occurrence Status is “Not Started”

  9. TSB Occurrence Inspection Status is ‘No Action Required

Path #2 - Further action is necessary as TSB Occurrence meets minimum criteria for follow-up

  1. Inspection Notification tab is not visible

  2. Answer question #1 “Yes”

  3. Only question #1 should be visible

  4. Click “Save”

  5. “Inspection Notification” pop-up window should appear

  6. In the pop-up window, assign an RSI and add assignment notes

  7. Click “Assign”

  8. Inspection Notification tab is visible

  9. Occurrence Follow-up status is “In Progress”

  10. Manager Review status is “Completed”

Path #3 - Further action is necessary as TSB Occurrence based on management’s discretion

  1. Inspection Notification tab is not visible

  2. Answer question #1 “No”

  3. Answer question #2 “Yes”

  4. Select a manager’s name from the “Requested By” dropdown menu

  5. Click “Save”

  6. “Inspection Notification” pop-up window should appear

  7. In the pop-up window, assign an RSI and add assignment notes

  8. Click “Assign”

  9. Inspection Notification tab is visible

  10. Occurrence Follow-up status is “In Progress”

  11. Manager Review status is “Completed”

Role: RSI

  1. RSI can view Manager Review tab in read-only mode

  2. “Reopen” and “Reassign” buttons are disabled

Inspection Notification

Role: Assigned RSI

Required workflow if further action is required

Task Dashboard page

  1. Go to Task Dashboard

  2. Select filter “Assigned to Me”

  3. Click on a TSB Occurrence in the table

  4. Navigate to the Inspection Notification tab

5. Select the Railway associated with the TSB Occurrence

6.Select a Railway Officer

7. Click “Add Railway Officer”

Create Inspection Notification Letter screen

8. Review your contact information:

  • RSI office address

  • RSI phone number

  • RSI email address

9. Review railway contact information in RSIG:

  • Railway name

  • Default CC names associated with the Railway Officer

10. Review Date Sent (should be today’s date)

11. Review Info Due By date (should be 15 days from tomorrow; if the due date falls on a weekend, default to the following Monday)

12. Select one or more Supplemental Documents (write them down)

13. [May want to take a screenshot of the letter creation page to review when the letter is created]

14. Review the letter

15. Click “Attach to Email”

Create email screen

16. Enter an email subject line

17. Enter email body text

18. Enter email signature

19. Click “Send Email”

20. Check your Outlook “Sent Items” box and review the email and letter

21. Inspection Notification status updates to “In Progress - Letter Sent”

Railway details screen

22. Check the assigned RSI to make sure it is correct
23. Check the Railway Officer to make sure it is correct
24. Check the Letter Type to make sure it says “Notification”
25. Check the Letter Sent date to make sure it is correct
26. Check the Info Received date is set to “Pending”
27. Check the Due Date to make sure it is correct
28. Review letter in pop-up window
29. View letter in browser
30. Download letter
31. Add an Extended Due Date
32. Change the Railway Officer

33. Choose an Info Received status and follow the status’ associated sub-path listed below

Sub-path #1 - Info Received status set to “Pending”

34. Select Info Received status “Pending”
35. “Validate and Proceed to Planned Location” button should be disabled at the bottom of the Inspection Notification screen
36. Select another status and follow the sub-path to validate Inspection Notification

Sub-path #2 - Info Received status set to “No Receipt”

34. Select Info Received status “No Receipt”
35. Click “Validate and Proceed to Planned Location” at the bottom of the Inspection Notification screen
36. Inspection Notification is validated
37. TSB Planned Location tab is visible

Sub-path #3 - Info Received status set to “Partial”

34. Select Info Received status “Partial”
35. Enter Received On date
36. Select Via dropdown menu option

38. Click OK in the Info Received pop-up window
39. “Validate and Proceed to Planned Location” button should be disabled at the bottom of the Inspection Notification screen

  1. Admin can select any TSB Occurrence from the Task Dashboard, and complete steps 3-52 as outlined for the role assigned RSI

Role: Manager

  1. Managers can view-only the Inspection Notification tab

  2. Managers can complete an Inspection Notification if they are the assigned RSI and follow steps 1-52 (as needed) as outlined for the role assigned RSI

TSB Planned Location

Role: Assigned RSI

Required workflow if further action is required

  1. Select a TSB Occurrence with a validated Inspection Notification assigned to you from the Task Dashboard

  2. Navigate to the TSB Planned Location tab

  3. Click “Create RSIG Planned Location” button

  4. Planned Location ID is visible on the screen

  5. “Inspection not yet created” is visible on the screen

  6. Go to RSIG QA or UAT (as applicable) and click CTRL-F

  7. Enter the Planned Location ID number

  8. View corresponding Planned Location record

Role: Manager

  1. Managers can view the TSB Planned Location tab in view-only mode (unless they are the assigned RSI)

Role: Admin

  1. Admin can select any TSB Occurrence from the Task Dashboard, and complete steps 2-8 as outlined in the role assigned RSI
